No more version conflicts: Real-time collaboration for content teams

Creating content requires teamwork, and collaborative editing makes it easier and more efficient than ever. With this new feature, multiple users can simultaneously contribute to the same piece of content, see real-time changes, and provide instant feedback.

Say goodbye to version conflicts and disconnected workflows!

This article shows you all the new features to boost your team’s efficiency.

Status quo and day-to-day challenges

In many Content Management Systems (CMS), content managers and editors work in sequences, taking turns editing, reviewing, and approving content. This can create several challenges, such as:

  • Bottlenecks when multiple people need to contribute
  • Risks of overwriting content or duplicating work
  • Confusion over which version is the latest
  • Delays in feedback and approvals due to disconnected communication
  • The need to collaborate in Word or Google Docs and then copy and paste the final version into the CMS

Tools we know and love, such as Google Docs, Microsoft Word, and Figma, have redefined standards by delivering real-time, fluid, and collaborative editing experiences.

So, of course marketers and content editors deserve the same useful features directly in the DXP

What is Collaborative Editing?

Collaborative editing within a Digital Experience Platform (DXP) allows multiple users to edit, manage, suggest revisions, and update content both asynchronously and in real time.

By using a shared collaborative editor, writers and editors can contribute their ideas and expertise to create and edit content together. This fosters teamwork, improves content quality, and accelerates time to publication.

Key features of Collaborative Editing

1. Real-time collaboration

No more copying and pasting content for publication after creating it somewhere else. With real-time collaboration, there is one space to create, improve, and publish content more efficiently.

2. Version control

Collaborate on the same, always up-to-date content version. All changes are automatically saved and instantly available to everyone. If necessary, you can roll back to earlier versions with a simple click, so you never have to navigate version chaos like "Version 2_23_final v4_final-2."

3. Role-based Access

Whether it's a copywriter, editor, marketing manager, or sales representative, you decide who can review, edit, and publish content. You can restrict changes to authorized users and see who is currently editing or viewing content.

4. Manage conflicting edits

Maintain control over complex documents with multiple authors by managing conflicting edits through merging or suggestions. Use preview mode for easy viewing of developments between revisions, accepting or declining changes as you go.

5. Review and approval

Sometimes finalized content needs a ‘fresh pair of eyes’ from someone who may not be a content editor or have backend access. Preview links in Ibexa DXP allow you to quickly share the draft with external collaborators before publishing.

Improvements brought by Collaborative Editing

Real-time collaboration transforms Ibexa DXP from a mere content management tool into a dynamic content collaboration platform, enabling marketing teams to achieve faster content publishing cycles.

Here are some of the benefits:

  • Higher productivity: Reduces turnaround time by enabling teams to work together simultaneously.
  • Greater accuracy: Real-time feedback ensures improved quality and fewer errors.
  • Consistency in output: Standardizes content across teams, reinforcing brand messaging.
  • Streamlined workflows: Seamlessly integrates with publishing processes for quicker go-to-market strategies.

Where is it available?

The Collaborative Editing feature is part of Ibexa DXP V5 and will initially be available in text editor. However, we’ve also made Collaborative Editing available as an LTS update in version 4.6.

In short

Collaborative editing within Ibexa DXP makes it easier to work on content in teams. Organizations can now centralize their content creation and review processes, both asynchronously and in real time.

On September 10th at 2pm CET,  we'll be hosting a webinar on all of the updates to Ibexa DXP V5, be sure to register now:
